Medical Support Assistant (Advanced)

The Advanced MSA serves as a works collaboratively in an interdisciplinary coordinated care delivery model (i.e., patient aligned care team, or other specialty care setting where the patient aligned care team model is used such as orthopedic surgery, plastic surgery, general surgery, etc.). The Advanced MSA coordinates with the patient care team to review the clinic utilization by using various reports, ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and makes any necessary adjustments. They develop and maintain effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies. Duties include, but are not limited to:
- Schedules new and established patient appointments; - Tracks and facilitates completion of encounters and consults; - Participates in team huddles and team meetings to manage and plan patient care; - Sets priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; - Works with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; - Monitoring pre-appointment requirements to assure readiness for patient visit/procedure (e.g., X-ray, lab work); - Manages electronic wait list to verify and validate accuracy and resolve issues; - Participates and provides input in problem solving on operational issues or procedures in team meetings; - Performs administrative follow up actions; - Participates in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; - Evaluates patient information and clinic schedule lists to determine whether patient is vested; - Gathers information and collects/compiles data to meet the needs of the service; - Educates providers about shared patients (those who receive their care at multiple VAs or those who have care in the community) and brings to the attention of the providers. The following are the basic requirements and amounts of experience and/or education required to qualify for this position. Creditable experience is defined as, experience that demonstrates the knowledge, skills, and abilities (KSA's) associated with current Medical Support Assistant responsibilities. English Language Proficiency Experience - Six months' experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position, OR Education - One year above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university OR Combination - Equivalent combinations of experience and education are qualifying for this position. Experience:
One (1) year of experience that is directly related to the duties of a MSA and that equips you with the particular knowledge, skills, and abilities to perform successfully the duties of this position. To be creditable, this experience must be equivalent to the next lower grade level, GS-5, and demonstrate the knowledge, skills, and abilities associated with current MSA responsibilities. Experience at this level includes, but is not limited to:
scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing emergency and non-emergency transfers to other VA facilities or private hospitals; and performing basic eligibility, co-pays and preauthorization requirements for specific coverage (i.e., TRICARE, sharing agreements, etc.). KNOWLEDGE, SKILLS, AND ABILITIES:
In addition, applicants must demonstrate the following KSAs:
KSA 1:
Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations. KSA 2:
Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels. KSA 3:
Advanced knowledge of the technical health care process as it relates to access to care. KSA 4:
Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. KSA 5:
Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process. KSA 6:
Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. References:

The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying of light items. Some positions may require sitting for long periods of time at a computer terminal typing data while talking on a telephone headset. Work Environment:
The work environment involves everyday risks or discomforts, which require normal safety precautions. The work requires safe work practices with office equipment, avoidance of trips and falls and observance of fire regulations. The work area is adequately lighted, heated and ventilated. The employee works in a close proximity to patients, and is therefore, exposed to communicable diseases. Some exposure to verbal abuse may be experienced in certain position.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
